Companies



Required Permissions

  1. View Companies
    • ability to access Companies in read-only mode
  2. Setup Companies
    • ability to add, view, edit, delete Companies

Search Company

  • Go to Companies tab of the main menu.
  • Select Search Company menu item.

The following window will open up:

  • Specify the necessary search criteria in Search Company frame.

The following optional filters can be applied:

Filter Comment
Parent Company Select a parent Company from the drop-down list of active Companies. This relationship can be configured in Company Settings. The necessary Company can be searched by the ellipsis button [...] as well.
Code
Name
Customer
Vendor
Owner Visible only if Ownership Level is enabled in System Settings.
Active Checked by default.

CoreIMS allows you to do the following when searching:

1) search by the beginning or by any part of text fields;

2) set checkboxes to one of three states for searching;

3) hide/unhide search filters;

4) collapse/expand the filter area.

  • Once you specify all necessary filter criteria, click Enter or Apply Filter button.
    The results that satisfy the search criteria will be loaded to Companies frame:

  • You can reset previously specified filter criteria by clicking Reset Filter button.

  • Use navigation buttons Navigation_buttons to switch the pages of the grid.
    You can also customize the view of the grid and use Ctrl+F for searching.

  • If needed, update the list of displayed Companies with the up-to-date data from the database by clicking Refresh button.

  • Click Add button to add a new Company. You will be redirected to Add Company window.

  • Select a Company and click Edit button or just double-click on a Company of interest. You will be redirected to Edit Company window.


Add Company

  • Go to Companies tab of the main menu.
  • Select Add Company menu item.

Note. Alternatively, you can access this window by clicking Add button in Search Company window.

  • Sprecify all the necessary attributes:
Attribute Required/Optional Comment
Parent Company Optional You can associate this Company with another one as a subsidiary. Select the parent Company from the drop-down list of active Companies. The necessary Company can be searched by the ellipsis button [...] as well.
Code Required Must be unique across all Companies.
Name Required
Active Checkbox Checked by default. If you uncheck this flag, you will create an inactive Company: it will not be seen anywhere in CoreIMS.
Description Optional
Customer Checkbox Customers are Companies the stock is sent to in Shipping Order or the stock is received from in Return Orders.
Vendor Checkbox Vendors are Companies the stock is received from in Receiving Orders.
Owner Checkbox Visible only if Ownership Level is enabled in System Settings. Owners are Companies whose stocks are stored in the warehouse.
  • Click Reset button if you want to cancel adding of a new Company.

  • Click Save button to add the Company. You will be redirected to Edit Company window.

After the company has been created, you can search for it in Search Company window, make changes and add Addresses and Contacts.


Edit Company

There are three tabs here:

On Edit Company window you can:

  • Edit all the necessary Company attributes.

    • Click Save button.
    • Click Reset button if you want to reset the unsaved changes.
  • Click Delete button if you need to delete the Company.

Note. You cannot delete a Company if there is at least one order in any status associated with it.


Add Addresses

  • Go to Companies tab of the main menu.
  • Select Add Addresses menu item.

Note. Alternatively, you can access this window by clicking Add button in Company Addresses window.

  • Specify all the necessary attributes:
Attribute Required/Optional Comment
Company Required Drop-down list of active Companies. The necessary Company can be searched by the ellipsis button [...] as well.
Name Required Must be unique across the Company.
Active Checkbox Checked by default.
Address Optional Country will be automatically prepopulated by the system if Default country is specified in System Settings. For United States you can specify the state. For other countries city and postal code are accepted.
  • Click Reset button if you want to cancel adding of a new Company Address.

  • Click Save button to add the Company Address. You will be redirected to Edit Company Location window.

    • Click Delete button if you need to delete the Company Address.

Please pay attention to the fact that the address forms for United States and for all other countries are different.

Add Contact

  • Go to Companies tab of the main menu.
  • Select Add Contact menu item.

Note. Alternatively, you can access this window by clicking Add button in Company Contacts window.

  • Specify all the necessary attributes:

Company Required Drop-down list of active Companies. The necessary Company can be searched by the ellipsis button [...] as well.
Company Location Optional Drop-down list of active Company Locations (Addresses). The necessary Company Location can be searched by the ellipsis button [...] as well.

Last Name Required
Contact By Optional Select the priority communication method: Phone, Cell Phone, Fax, E-mail.
Phone 1 Optional* *If any other communication method is specified.
Phone 2 Optional* *If any other communication method is specified.
Cell Phone Optional* *If any other communication method is specified.
Fax Optional* *If any other communication method is specified.
E-mail Optional* *If any other communication method is specified.
  • Click Reset button if you want to cancel adding of a new Company Contact.

  • Click Save button to add the Company Contact. You will be redirected to Edit Company Contact window.

    • Click Delete button if you need to delete the Company Contact.

Company Addresses

Edit Company screen contains Company Addresses tab. When selected, the following screen shows up:

Add

When in Company Addresses, click Add button to see Add Company Location frame to the right. For details, see Add Addresses section above.

Edit

  • Select a Company Location of interest by clicking on it. The frame to the right reflects Location attributes:

  • Edit all the necessary Company Location attributes.
    • Click Save button.
    • Click Reset button if you want to reset the unsaved changes.

Delete

  • Select the necessary Company Location by clicking on it.
  • Click Delete button within Edit Company Location frame.

Company Contacts

Edit Company screen contains Company Contacts tab. When selected, the following screen shows up:

Add

When in Company Contacts, click Add button to see Add Company Contact frame to the right. For details, see the Add Contact section above.

Edit

  • Select a Contact of interest by clicking on it. The frame to the right reflects Contact attributes:

    • Click Save button.
    • Click Reset button if you want to reset the unsaved changes.

Delete

  • Select the necessary Company Contact by clicking on it.
  • Click Delete button within Edit Company Contact frame.
